POSITION OVERVIEW
We are looking for a proactive, detail-obsessed, and highly organized Executive Assistant & Employee Experience Manager to join Lighter Capital. This isn't just a scheduling role; you will be the "logistics engine" for our CEO and the "culture architect" for our global team.
The ideal candidate is a strong communicator with exceptional attention to detail, thrives on managing multiple priorities, and collaborates effectively as part of a team. From managing complex international travel and Board of Director relations to scouting and executing world-class company offsites, you will ensure our leadership and our employees are set up for success.
RESPONSIBILITIES
Executive Support & Calendar Management
- Strategic Scheduling: Manage the CEO’s complex calendar, resolving conflicts daily and ensuring a 24-hour response time for all scheduling inquiries.
- Primary Liaison: Serve as a key liaison between executives, staff, and external partners, ensuring timely, professional, and effective communication across all channels.
- Travel Coordination: Handle end-to-end travel logistics (flights, ground transportation, accommodations) for domestic and international trips (primarily US and Australia).
- Meeting Prep: Create "Meeting Detail" invites with historical context/email threads so the CEO is always briefed. Manage the "In-Person Meeting" wish list for future travel.
- Financial Administration: Oversee expense reporting in Expensify and Teampay. Manage Australian credit card expenses in Xero.
Global Offsite & Event Planning
- End-to-End Offsites: Lead the full lifecycle of company offsites. This includes venue scouting, contract negotiation, and logistical planning for a global team. We have two offsites per year that last for four days each, so you must be able to do overnight travel twice/year.
- Travel Agency Lead: Research and book all travel.
- Experience Design: Curate and book group activities, and design content itineraries/icebreakers.
Board & Internal Operations
- Manage the annual Board Meeting calendar.
- Internal Communications: Maintain the annual "All Hands" and "Coffee Chat" calendars.
People Operations & Recruitment Support
- Recruitment Coordination: Post jobs via Rippling, LinkedIn, and Handshake. Schedule interviews.
- Onboarding/Offboarding: Coordinate new hiring process.
- Employee Milestones: Manage the "Celebrate" Slack channel, sending gifts/gift cards for birthdays, anniversaries, and life events (babies/weddings).
- Internship Program Leadership: Responsible for leading and scaling the company’s internship program, including university outreach via Handshake, coordinating with hiring managers on candidate selection, and overseeing the end-to-end intern onboarding experience.
- Special Projects: Track deadlines and updates for ongoing company initiatives.
QUALIFICATIONS & CORE COMPETENCIES
- Project Management: You can juggle 30+ individual flight preferences, dietary restrictions for an entire company, and a Board of Directors schedule simultaneously without dropping a ball.
- Calendar Mastery: Proven experience managing complex, high-volume calendars across multiple time zones (specifically US and AU) with precision.
- Organizational Excellence: Exceptionally organized and detail-oriented—you have a proven ability to juggle multiple priorities and global logistics seamlessly.
- Strategic Communication: Strong communication skills—you are a natural liaison who anticipates the needs of executives and staff to keep operations running smoothly.
- Discretion & Professionalism: High emotional intelligence with the ability to handle confidential company, Board, and personnel matters with the utmost care.
- Proactive Problem Solver: Resourceful and self-motivated—you possess the "two-steps-ahead" mindset required to find solutions before problems arise.
- Technical Proficiency: Comfortable navigating a modern tech stack, including Google Workspace, Slack, Zoom, and ideally HR/Finance tools like Rippling, Xero, or Expensify.
- Bachelor’s degree preferred.
